Privacy Policy

Your privacy, explained clearly.

How the Sujatha School public website handles enquiries, technical information and links to external services.

Sujatha School is an integral part of Sujatha Arts and Science Academies. Sujatha Arts and Science Academies, acting through Sujatha School, operates this public website and is responsible for the personal information described here.

01

Scope of this policy

This policy covers information handled through this public website, including the enquiry form, published school content, links and ordinary web-server operation. Separate notices may apply to admissions, student records, employment and the parent portal, and should be provided at the relevant point of collection.

02

Information we may receive

Depending on how you contact us, we may receive:

  • Your name, phone number, email address, enquiry type and message.
  • Information you choose to share by phone, email or WhatsApp.
  • Photographs, videos, names, class or year details, and event or achievement information supplied or approved for publication through school processes.
  • Technical server-log information such as an IP address, browser or device type, requested page, and date and time of access.
The website does not submit enquiry-form data to a Sujatha School web database. When you select “Continue on WhatsApp”, the details you entered are placed in a WhatsApp link and transferred to WhatsApp to prepare a message. Sujatha School receives those details only if you choose to send the prepared message.

03

How we use information

We may use information to respond to enquiries, discuss admissions or campus visits, provide requested school information, share authorised school activities and achievements, maintain website security, troubleshoot technical problems, keep necessary business records, and meet applicable legal obligations.

We do not sell or rent personal information, and this website does not use personal information for targeted advertising.

04

WhatsApp and other external services

If you continue to WhatsApp, send an email, open a map, watch a video, use the parent portal or visit a social-media profile, you are interacting with a separate provider. Those services process information under their own terms and privacy notices.

The website currently links to WhatsApp, Google Maps, YouTube, Instagram, Facebook and SchoolCanvas. We do not control how those providers use information after you leave our website.

05

Cookies and server logs

The current website does not use advertising cookies, analytics cookies or browser storage for tracking. Our hosting service may create technical access and security logs when pages are requested. We use those logs only for operating, protecting and diagnosing the website. Routine website access logs are normally retained for up to 14 days; a relevant record may be kept longer when needed to investigate a security incident or meet a legal obligation.

06

Children’s privacy

This public website is intended primarily for parents and guardians seeking information about the school. The public enquiry form is for people aged 18 or older. If you are under 18, please ask a parent or lawful guardian to contact us on your behalf.

Please do not send medical information, identity documents, financial details or other sensitive student information through the public enquiry form or an unsolicited WhatsApp message. The school can identify a more appropriate channel when such information is genuinely required.

Identifiable student photographs, videos and achievement details are intended to be published only when an appropriate parent or guardian permission or other lawful basis has been documented through school processes. A parent or guardian may ask us to review or remove identifiable content by using the privacy contact below.

07

Retention, sharing and security

We keep personal information only for as long as reasonably necessary for the purpose for which it was received, for school administration, or as required by applicable law. We review enquiry information when it is no longer active or relevant. Email and WhatsApp records are held in those communication systems rather than by this website; records that become part of a formal admissions or student process follow the separate schedule for that process.

Access may be provided to authorised school personnel, hosting or technical providers that support the website, and public authorities when disclosure is legally required. We use reasonable organisational and technical safeguards, but no internet transmission or storage system can be guaranteed completely secure.

08

Your choices and rights

You may ask what personal information we hold about you, request correction or completion, ask for erasure when retention is no longer necessary, withdraw consent for future use, request review or removal of identifiable student media, or raise a privacy grievance. We offer these choices as service commitments; where applicable law provides an additional statutory right, that right also applies from its legally effective date.

We may need to verify your identity or authority before acting on a request, and some information may need to be retained for a lawful purpose. Where applicable, you may nominate another person to exercise your data rights in the event of death or incapacity. If a grievance is not resolved through our internal contact, we will explain any further escalation route available under applicable law. India’s official data-protection framework is available through the Digital Personal Data Protection Act, 2023 ↗.

09

Privacy enquiries and grievances

To ask a privacy question or exercise a request, use the subject “Privacy request” and include enough information for us to identify the relevant communication.
